Attention January, May, or October 2008 Grads:

Carefully read ALL of the following information. It is critical that you are aware of all of the policies concerning graduation. PRINT THIS PAGE FOR YOUR REFERENCE.


Communication of Information

Students are responsible for all information regarding academic status distributed as follows. It is important that you check your email regularly, as some matters must be resolved by non-negotiable deadlines.

  • Information of a general nature, such as reminders of policies and deadlines, can be found in the Official Notices section of the SAS website.
  • Detailed information is sent via senior class listserv to the email account associated with your Rutgers NetID. By default, this is your eden account, but you may change it to a personal email address that you prefer or you may forward eden emails to your personal account at http://nbcs.rutgers.edu/services/communicating/email-overview.php
  • Individual notification of graduation problems is sent to either your RU email account or campus mailbox, depending on the nature of the issue. 

Your Senior Review

Students from Douglass, Livingston, Rutgers, and University Colleges who are classified as Class of 2008 can see their senior review online. Click on this link and log in with your NetID: http://srrev.sas.rutgers.edu

The Senior Review is a progress report on where you stand with regard to graduation. It will contain all the information we have to date on the various requirements you must complete in order to graduate.

It is your responsibility to review it carefully, compare it with your transcript, and inform the Office for Seniors of any discrepancies or problems using the Senior Review Discrepancy form. The major components are:

  • Major and Minor (if applicable) - If your major(s) and/or minor(s) are not declared correctly, you must submit a Major/Minor Declaration/Change form immediately. You must check your major and minor progress with your department(s).
  • Distribution Requirements - If you disagree with anything in this section, notify the Office for Seniors via the Senior Review Discrepancy form
  • Graduation Date - This is critical. If the month or year is incorrect, you must submit a Reclassification form immediately.
  • Comments - Additional information relevant to your status.

The online Senior Review will be updated on a regular basis with any new information received.


Transcript Review for Credit Adjustment

It is your responsibility to be sure courses are reported correctly on your transcript and are worthy of credit. Your transcript will be reviewed carefully during your final semester. Occasionally, we discover credit issued twice for repeating a course (particularly when the first grade was a D or if equivalent courses had different course numbers), physical education activities credit for non-Exercise Science majors, or elementary foreign language credit for a native language or language studies in high school. You should review your transcript carefully and bring any adjustments to our attention to avoid being caught short before graduation.


Graduation Requirements

Degrees are issued for satisfactory completion of the requirements your college of enrollment. Please select the appropriate link to view your requirements. Note: Only select the School of Arts and Sciences if you have officially converted to SAS.

Senior year residency – All colleges require that thirty of the final 42 credits must be taken on the Rutgers-New Brunswick campuses.  Douglass requirements allow courses to be taken at Newark or Camden as well.

  • Classification of Graduation Date

Students are only reviewed for graduation in the cycle that they have declared. You may change your graduation date online or at one of the SAS Advising Centers. By the time you enter your final semester, your classification must be correct. All academic credentials that you wish to earn must be completed prior to issuance of your degree.

  • Diploma Application: 

In addition to proper classification, students need to file a diploma application with the Registrar. Application deadlines are:

  • To graduate at the end of the fall 2007 term (January 2008):
    • October 1 - December 1, 2007
  • To graduate at the end of the spring 2008 term (May 2008):
    • December 15, 2007 - March 15, 2008
  • To graduate at the end of the summer 2008 term (October 2008):
    • March 16, 2008 - August 1, 2008
The deadline for online submission of May 2008 diploma applications was March 15. Seniors who are finishing degree requirements in the spring semester and have not yet declared their intent to graduate in May must visit the Registrar's Office, Administrative Services Bldg., Busch Campus, immediately. This must be done in person by the student requesting the diploma. Faxed or mailed forms will not be accepted.
  • JAN 08 and OCT 08 graduates should not reclassify their graduation date to May nor should they complete a MAY08 diploma application.   All JAN08 grads (and OCT07 grads, too) will be invited to participate in their college's May ceremony - there is nothing additional needed.

The diploma application is available at https://www.ugadmissions.rutgers.edu/Diploma.  You will need to log in with your NetID and password.

Please note the following:

  • Your declared graduation date MUST be recorded as May 2008 to enter the diploma application site. If you expect to graduate in May and have a different date declared, please change your graduation date. This can be done at any of the Advising Centers listed below or you can download the form and return it per instructions on the form.  Please allow 7-10 days for the change to be processed.
  • Any changes of information from your university record that is pre-populated on the diploma application (declared majors and minors, permanent address, email address, etc.) must be corrected BEFORE you submit the diploma application.  YOU MAY ONLY SUBMIT THE APPLICATION ONCE!
  • If you had previously completed a diploma application for an earlier graduation cycle, either online or on paper, you still need to file the application described above. 
  • Submission of a diploma application does not imply that you are eligible to graduate. Please refer to your online Senior Review for a snapshot of your degree status.
  • If you have declared a May 2008 graduation date but will not complete your degree in the spring semester, please revise your graduation date immediately.  This can be done at any of the Advising Centers listed below or you can download the form and return it per instructions on the form.  If you do not change your graduation date you will not be able to register for future semesters and will not be reviewed for graduation.
Specific questions about the diploma application process should be directed to the Registrar's Office, 732-445-2757.

Registration Block

  • Seniors who do not have a declared major will be blocked from registering for future semesters until they declare a major they are eligible to enter. Students are expected to work in good faith toward the requirements of that major. Students who are currently enrolled in entrance courses for their major need to bring this to the attention of the Senior Office in Milledoler Hall to release their registration. The major declaration form is available online or any of the SAS Advising Centers.
  • Seniors may not register for classes in a semester beyond their declaration date. For example, a student who has declared to graduate at the end of the fall term (January graduation) will not be permitted to register for the spring semester. The registration block will be lifted when the student declares a viable graduation date. The reclassification form is available online.

Students with More than One Major

Students receive one degree and one diploma from Rutgers University regardless of the number of majors completed. The BA or BS diploma is determined by the degree designation of your first major. If your second major offers a different degree and you prefer that your record reflect this degree, you need to change the order of your majors before you enter your final semester . The form to do so is available online.

Due to conferral of the degree by two faculties, the following majors must be designated only as first majors:  Accounting, Communication, Finance, ITI, Journalism, Labor Studies, Management, MSIS, Marketing, Public Health, and Urban Studies.


January Graduates

Students who intend to graduate at the end of the fall 2007 semester must file for January 2008 graduation by following the graduation date and diploma application procedures explained above.  It is also important the home address on your record be a place where you can be reached in February 2008. Typically, students who list local off-campus addresses as their permanent addresses have difficulty receiving time-sensitive information about their graduation status.  A family address is most reliable.


Part-time Status, Credit Overloads, Graduate Courses

Special permission must be obtained for fewer than 12 credits, more than 20.5 credits, and graduate courses.  Senior privilege of part-time enrollment is given to all students who, in their final semester, need less than 12 credits to complete their degree and are registered for all remaining degree requirements.

Non-traditional students should discuss these issues with the Office of Non-Traditional Students and Special Populations.


Independent Study, Fieldwork, Practicum, and Internships

Students are limited to 30 credits of independent study, research, fieldwork, practicum, or other out-of-classroom experience. It is expected that these credits will be in your major discipline.


Pass/No Credit Option

Students with 90 or more credits may elect to take one course in each of their final two semesters on a pass/no credit basis. These courses may not be used to satisfy any specific degree requirement (major, minor, general education requirement), nor may a course be designated P/NC if it could satisfy a degree requirement that is not already completed, even if another course is planned to complete that requirement. Degree credit is issued for grades of C or better. 

Before you select the pass/no credit option, be aware of any effect it may have on graduate or professional school applications or dean’s list status (12 graded credits are needed for dean’s list).  Graduate schools often do not like to see P/NC grades in courses in the major subject. 

Pass/no credit applications are available online. Deadlines for applying for pass/no credit are Monday, October 1, 2007 for the fall semester and Monday, February 18, 2008 for the spring semester.  Your decision is final once the deadline has passed.
